Position Title: Office Manager
Location: Vancouver, BC (Not Remote)
Employment Type: Full-time, 9-month Term – possibility for extension
Salary: $26.50 per/hr 35 hours per/week. Employer paid benefits starting after 1 month

 
About Us:
411 Seniors Centre Society founded as a Society in 1977, is a vibrant, non-profit organization dedicated to enhancing the quality of life for seniors. We provide programs, services, and advocacy to support the independence and well-being of older adults. We are seeking an experienced and organized Office Manager to join our team and support our mission.
 
Position Overview:
The Office Manager will play a key role in ensuring the smooth operation of our office and programs. This position includes providing administrative support to the Executive Director, managing daily office functions, and assisting with the coordination of seniors’ programs. The ideal candidate is detail-oriented, proactive, and passionate about supporting seniors.  Hours of operations are 9:00am  –  4:30pm. 
 
Key Responsibilities:
Office Administration:
  • Oversee day-to-day office operations, ensuring efficiency and organization.
  • Manage office supplies and equipment, maintaining inventory and replenishing as needed.
  • Answer phones, emails, and inquiries, providing excellent service.
  • Maintain accurate records, databases, and filing systems.
  • Prepare reports, correspondence, and other documentation as required.
Program Support:
  • Assist in planning, coordinating, and implementing seniors’ programs and activities.
  • Provide logistical support for events, workshops, and outreach activities.
  • Track program participation and compile data for reporting and evaluation purposes.
  • Work closely with volunteers and program staff to ensure smooth program delivery.
Executive Support:
  • Provide administrative support to the Executive Director, including scheduling committee meetings, drafting communications, and preparing materials.
  • Assist in preparing grant applications, funding proposals, and reports.
  • Coordinate board meetings, including preparing agendas and minutes.
  • Handle confidential information with discretion.
Qualifications:
  • Post-secondary education in office administration, business management, or a related field, or equivalent work experience.
  • Minimum 3 years of experience in office administration or program coordination.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management.
  • Ability to work independently as well as part of a team.
  • Experience working with seniors or non-profit organizations is an asset.
  • Knowledge of funding applications and reporting processes is an advantage.
