Indspire is seeking an Executive Assistant to the Vice President, Development. This seasoned Executive Assistant will provide executive-level administrative services and support to the VP. They will drive strategic initiatives forward and will enable the VP to focus on interacting with high-value donors to grow revenue for Indspire’s programs. The successful candidate will foster exceptional relationships with Indspire’s donors, sponsors, vendors and employees. They will anticipate the needs of the VP by working independently with the initiative to manage tasks and projects. They will exercise a high degree of professionalism, confidentiality, discretion, and judgement, and will have experience in the fundraising sector.
Key Responsibilities
- Acts as the primary point of contact between the Development Directors and the VP, Development, and between Indspire’s major donors, sponsors and prospects.
- Prioritizing and managing VPs workload, ensuring sufficient capacity to allow the VP to focus on delivering Indspire’s strategy and revenue goals.
- Conducting daily briefings with the VP in preparation for the day.
- Managing and maintaining the VPs calendar, including scheduling appointments with funders and prospects, and associated travel arrangements.
- Preparing and managing communication and correspondence including email, phone and mail.
- Working with the Directors and Prospect Researcher to prepare presentations and briefing notes in advance of donor meetings.
- On request, attends VPs donor meetings, prepares agendas, takes minutes and follows through on action items independently. Occasional travel required.
- Managing VPs major donor pipeline of upcoming solicitations, then recording activity in Raisers Edge NXT in a timely manner.
- Operating as an ambassador of Indspire by providing VIP concierge support to Indspire’s $100,000+ donors during the sponsorship benefits activation process leading up to, and at Indspire’s major events.
- Collaborating with C-Suite Executive Assistants to drive projects and initiatives forward that are aligned with Indspire’s strategic plan. In addition, working with these offices to book major donor and prospect meetings and provides briefing notes to prepare all parties in advance.
- Prioritizing incoming issues and concerns addressed to the VP including those of a sensitive and confidential nature, determining the appropriate course of action, referral or response, and routing or dealing with less complex matters directly (as appropriate.)
- Working with the Development Assistants to plan logistics and organize meetings and events for the Development department. This includes supporting the Stewardship team with donor cultivation and stewardship events.
- Preparing, monitoring and reporting annual departmental workplan and KPIs performance.
- Preparing and submitting expense reports for the VP.
- Handling confidential information with the highest level of discretion and integrity.
- Handling special projects and other duties as assigned.
- Act as a professional representative of Indspire and the VP, Development.
- College diploma in business administration or equivalent.
- At least 5 years of experience providing office management and administrative support to senior executives, preferably in the fundraising sector.
- Self-motivated, detail-oriented, and able to thrive in fast-paced environments.
- Excellent interpersonal skills, with the ability to build strong relationships at all organizational levels.
- Experienced in organizing complex travel arrangements.
- Strong writing skills, capable of drafting clear, concise, and professional correspondence for executive and donor audiences.
- Exceptional organizational, time management, and prioritization skills.
- Able to exercise discretion, judgment, and professionalism in all tasks.
- Strong problem-solving and analytical abilities, with the capacity to work independently.
- Knowledge of Indigenous issues and experience working in Indigenous communities preferred.
- Ability to work with sensitive information with complete confidentiality.
- Proven skills with Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, Asana, and Raisers Edge NXT.
- Occasional travel within Canada is required.
- Occasional travel between Six Nations and Toronto offices is required.
- Must be able to work occasional evening and weekends.
