Job Title: Manager, One to One Mentoring Programs (14-Month Contract) 

Reports to: Director of Service Delivery

Main Objective: this position is responsible leading on the following:

  • Continue BBBST’s progress in the decentralization initiatives that relate to 1:1 mentoring programs.
  • Manage the Site Based 1:1 and Community Based 1:1 staff team while ensuring compliance with our National Standards and local agency policies and procedures.
  • Collaborate with the National team and ensure alignment of Service Delivery practices in collaboration with Director of Service Delivery.
  • Maintain program partnerships which include: Toronto District School Board, Circle of Care, Children’s Aid Society of Toronto, Catholic Children’s Aid Society of Toronto, etc.

Supervisory Responsibilities:

This position will assume a supervisory role for all staff in one to one mentoring programs. This will include:

  • Support the development and implementation of action plans and monitor progress of all grant outcomes related to 1:1 programs (site-based and community-based).
  • Monitor and track staff performance based on their monthly and annual targets.
  • Conduct annual and quarterly performance appraisals and goal setting for all employees reporting to this role.
  • Contribute to the completion of agency reports as required which include (not limited to):
    • United Way Great Toronto Area Annual Report
    • Ontario’s Ministry of Education Mid and Annual Report
    • One to one Program cohort reports
  • In collaboration with staff members and other Program Managers, complete 2 agency file peer audits per year as required by National Standards.

Key Responsibilities

  1. Ensure that new matches are introduced on a timely basis, ensuring all parties understand commitment, roles, and agency policies.
  2. Collaborate with other service delivery staff to ensure smooth transition among functions for volunteers and families, including reviewing potential match files and communicating any concerns with Director of Service Delivery.
  3. Abide by Big Brothers and Big Sisters of Canada National Standards as required.
  4. Ensure that BBBST Policies and Procedures are being followed, and changes are tracked and incorporated in the Service Delivery Policies and Procedure Manual document.
  5. Work in collaboration with other program managers to ensure that case management and data entry expectations are being met by all members of the one-to-one match support Team.
  6. Ensure high-level proficiency in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job function.
  7. Develop strategic interventions to identify and strengthen match relationships that require extra support to continue to grow.
  8. Promote match activities to support ongoing volunteer involvement through individualized recognition, annual Big-Little events, and fundraising events.
  9. Facilitate pre-match training (Big/Little Fundamentals) for volunteers, parent/guardians and clients.
  10. Address and record stakeholder complaints. Ensure that complaints are elevated to the Director of Service Delivery as needed.
  11. Provide support to the Director of Service Delivery and Scholarship partners to coordinate and administer scholarships opportunities which include:
    1. Grade 8 Andra Takacs Scholarship
    2. Grade 12 Leaders of Tomorrow Scholarship by Jam Charitable Foundation
    3. Grade 12 Ted Rogers Scholarship
  12. Attend agency events, and be an ambassador for BBBST as requested.
  13. Maintain strict confidentiality and adhere to the privacy statement as set out in the Policies and Procedures at Big Brothers and Big Sisters of Toronto.

Job Qualifications:

  • A post-secondary diploma or degree in a related field (education, social or human services, child and youth work, family studies, etc.). BSW preferred.
  • 7+ years of experience working with children, youth and/or families which will include at least three years of supervisory experience.
  • Previous case management experience, including the use of a case management database system is required.
  • Excellent interpersonal and conflict resolution skills.
  • Knowledge of community development/connections is an asset.
  • Experience working in a culturally diverse setting.
  • Proven experience in team development, and achieving high performance levels.
  • Strong organizational skills and a capacity to multi task and to motivate others.
  • Demonstrated proficiency with Microsoft office, including Word, Outlook, Excel and power point.
  • Ability to work flexible hours including week nights and some weekends as required.
  • This position requires in-office work as well as occasional travel to Toronto communities and neighborhoods to accommodate special circumstances faced by certain families.
  • Successful Police Clearance and Vulnerable Sector Screening.
