JOB DESCRIPTION – BUILDING & OPERATIONS MANAGER

Wildseed Centre for Art & Activism is a transfeminist queer affirming multipurpose community hub that serves to nurture radical Black creation. Wildseed was birthed by BLM-Canada artists and activists who recognized the need for enduring space to cultivate the creative grounds of Toronto’s diverse Black communities.
Black Lives Matter-Canada and Wildseed Centre for Art & Activism are both divisions of M4BJ, a Black-led not-for-profit, charitable organization.

The Building & Operations Manager will report to and be supervised by the Executive Director: All qualified candidates require:
- Knowledge of commercial building operations and maintenance.
- Excellent organizational, office management and communication skills.
- The ability to work independently. A self-starter with some direction and guidance as needed.
- Interpersonal skills, including community engagement and comfort with collaboration.
- Multilingualism is an asset (French, BASL, Somali, Twi, Haitian Creole, Amharic, etc.)
- Administrative skills, expertise in keeping accurate and detailed records.
- The ability to supervise staff and volunteers.
Building Management:
- Ensure the tracking and coordinating of office assets, including furniture, keys, and computer equipment, in conjunction with the Executive Director and Finance Director.
- Coordinate the telephone system, including but not limited to developing automated triaging systems and arranging for the installation and cancellation of lines, repairs for regular units and special requests.
- Maintain records and training materials, and transitioning phone and voicemail to new staff.
- Ensure the maintenance and repairs of office equipment and supplies, including but not limited to:, computers, printers, and office supplies. Also responsible for inventory control, reviewing needs and negotiating costs as needed.
- Act as primary point of contact for all shipping/receiving, mail, and courier responsibilities.
- Act as primary point of contact for building management, alongside the Executive Director.
- Support the Finance Director with the tracking of online accounts and subscriptions for renewals and other purposes
- Ensure building and its operations are in compliance with AODA, OHSA, and other applicable health and safety legislation.
- When requested, support scheduling, orienting, and training of volunteers and part time staff, as needed.
- Manage the delivery and client service of front-line services, including but not limited to: room booking, space usage and other relevant services at Wildseed Centre.
- Develop, oversee, and respond to channels for space user feedback.
- Manage all documentation and systems relating to the above services, and develop training materials, guidelines, and best practices for service delivery.
- Maintain all website content related to Centre services.
- Manage and maintain product inventory, and all other relevant goods and systems necessary for services delivery and customer service.
- Provide ongoing reports for service activities, including cash handling accountability, sales, services usage, frequently asked questions, etc.
- In conjunction with the Space Committee, coordinate the building infrastructure maintenance and repairs activities of the Centre.
- In conjunction with the Programming Manager, support installation and deinstallation of art exhibitions as activities pertain to gallery maintenance and upkeep.
- Coordinate with cleaning staff, groundspeople and other suppliers to ensure the reception area and the Wildseed Centre, more broadly, are kept clean.
- Providing in a warm and professional manner general help to all guests who come into Wildseed Centre.
- Lead reception desk duties and train other staff or volunteers when required.
- Answer telephone, triage messages, and reply to general inquiry emails for both Wildseed Centre and Black Lives Matter Canada.
- Manage all petty cash duties & reconciliations pertaining to the office, in conjunction with the Finance Director.
- Lead with submissions to and final reporting of operations grants, in collaboration with the Finance Director and Executive Director on an as needed basis.
- Manage technical resources and accounts, including digital accounts.
- Support with oversight of processing, filing and maintenance of vendor contracts and respective payments.
- Liaise with building operations vendors.
- Being flexible and cooperative in helping to keep the Wildseed Centre running smoothly and efficiently.
- Evaluate and make recommendations to the organization and its development.
- Other duties as assigned.
CONTRACT START: March 5, 2025. 90 day probationary period.
PAY: $62,400 - $72,000 CAD, salary commensurate with experience. Paid bi-weekly.
WORKING HOURS: Shifts amounting to at least 35 hours per week as scheduled by the Executive Director. Given the nature of the position, the organization and its service users, some evenings and weekends are to be expected.
