About CSSP:
The Centre for Spanish Speaking Peoples (CSSP) is a non-profit, multi-service organization that has been serving the Spanish-speaking and Latinx/Hispanic community in the Greater Toronto Area for nearly 50+ years. As a cornerstone of support for generations of Spanish-speaking individuals, CSSP provides an extensive range of services, including pro-bono legal aid, settlement support, and integrated services for seniors and women experiencing or at risk of gender-based violence (VAW). Our outreach extends to critical areas such as sexual health education, harm reduction initiatives, food bank support, and referrals.
Key Responsibilities:
- Provide frontline reception and intake services, greeting clients and handling inquiries in person, by phone, and via email.
- Screen clients for initial assessment, gathering background information, determining service needs, and program eligibility.
- Complete and maintain accurate intake forms, client files, and ensure timely data entry into internal systems and databases.
- Refer clients to appropriate internal programs and staff, based on identified needs and eligibility.
- Facilitate connections with other service providers as needed, and refer external settlement-related partners to the appropriate contacts within CSSP for further collaboration.
- Assist with coordinating and delivering settlement-related workshops and information sessions.
- Assist with recruiting and training volunteers, and organize volunteer interpretation services when required.
- Maintain and expand the client base through targeted outreach, the development of outreach materials, and the promotion of services through community networks or attending external events approved by CSSP's Executive Director.
- Maintain strong working relationships with CSSP programs and external partner organizations or allies to ensure optimal client support.
- Support administrative functions including filing, photocopying, managing correspondence, and assisting with reports as needed.
- Prepare statistical and narrative reports to support monthly, quarterly, and annual reporting requirements.
- Provide reception coverage as needed, ensuring the front desk is welcoming and professional.
- Actively participate in professional development opportunities and trainings to enhance skills and knowledge.
- Ensure compliance with privacy policies, confidentiality protocols, and all agency procedures.
- Meet targets set by the program manager and/or Executive Director, ensuring quality and timely service delivery.
Qualifications and Skills:
- Post-secondary education in Social Work, Community Services, Office Administration, or a related field.
- Minimum of 1-2 years of experience in an administrative or client services role, ideally within a non-profit or community-based setting.
- Experience working with newcomers, vulnerable populations, and ideally the Latinx/Hispanic community.
- Fluency in English and Spanish is required.
- Strong interpersonal and communication skills with the ability to engage sensitively and effectively with diverse client populations.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort using client management databases.
- Excellent organizational, time management, and problem-solving skills.
- Ability to work both independently and collaboratively within a team environment.
- Understanding of confidentiality, privacy regulations, and client-centered service delivery best practices.
- Flexibility to work evenings or weekends, if required.
